Who is responsible: the initiative of unit owners in the Parková čtvrť building (the “Ochotní” group), which runs this website. The contact is at the end of this page.
Owners register from the land registry: to check that a form is filled in by a real owner, we work with a list of units and their owners from the land registry: unit number, name and permanent address of the owner. We hold this data about all owners in the building, even those who have never used the website. The website never displays this data and the forms do not fill it in. Only the administrators see it, to compare it with what you enter in a form.
What you fill in: e-mail, phone, unit number, for the proxy also your address, co-ownership information, the chosen proxy holder, validity and voting instructions. In the poll and for attendance in person, whether you will come; for signatures to convene the meeting, that you join the request. If you create an account, we also store your password – only as an unreadable hash.
Electronic signature: you sign the proxy in the DigiSign service, which sends you an e-mail with a link and a verification SMS. Before signing you add your date of birth, ID card number and, if needed, address there. These details are part of the signed document stored at DigiSign; the website administrators can download it. We do not store them in the website database.
Proxy holders and candidates: the name, photo and profile of the members of the “Ochotní” group and of the candidates are published on the website with their knowledge. The proxy holder’s date of birth and address appear in the text of the proxy, including the version for printing.
Why: to prepare and keep records of your proxy, verify ownership, find out whether the meeting will have a quorum, show the owners’ interest in convening it, and inform you about the meeting and webinars. We process the data from the forms on the basis of your consent and your request, and the owners register on the basis of the owners’ legitimate interest in the meeting being duly convened and held.
How long: at most 12 months after the meeting, then we delete the records. At your request we delete them earlier.
Who has access: the website administrators from the initiative and the proxy holder you chose. We present the proxy or your signature under the request to convene to the owners association to the extent needed to use them. Technically the data is processed for us by DigiSign (electronic signature), Railway (website and database hosting) and Amazon Web Services (sending e-mails). We do not pass the data to anyone else and never sell it.
Cookies: the website uses only technical cookies needed for logging in. There are no tracking or advertising tools.
Your rights: you can ask for a copy, correction or deletion of your data and object to its processing – even if you have not used the website and are only in the owners register. You can revoke the proxy, attendance or signature via the link in the confirmation e-mail. You may lodge a complaint with the Czech Office for Personal Data Protection (uoou.gov.cz).
